How Do I Submit a Bunch of Songs at Once to HFA?

The best way to submit 20 or more musical works into our database is through our Bulk Registration Tool. Follow the steps below to access and use it:

How to Access Bulk Registration Tool:

Follow the instructions below after you have logged into your HFA account at https://hub.harryfox.com:

• Under the eSong header of your HFA home page, select "Bulk Registration Tool"
• Click the "Download template" button to download the Excel template.

Bulk Registration Tool Template Instructions:

• Mandatory fields: Fill out columns A (Song Title), F (Writer Last Name), J (HFA Publisher Number), K (Publisher Name), and P (Collection Share).
  • If making an update to an existing work, please include the HFA Song Code (column B)
  • Although there are only a few mandatory fields, we encourage the inclusion of as much data as possible that is relevant to the submission. If you have it, please include it!
• Splits must be in number format and must not exceed 100.
• Each writer should have their own line. The musical work title should only be listed once
• Save the file as: [Your P#].xlsx

Uploading the File:

• Upload the completed Excel sheet in the "Browse Files" field.
• Attach your file.
• Click the yellow "Submit file" button.

• After your file is submitted, it is sent through a validation process that will ensure the mandatory fields are included and any included codes like HFA Song Code and P# are active and valid.
• Once your file has completed validation, you will receive an email to the address associated with your HFA Portal account confirming how many works were submitted successfully, and how many, if any, failed validation.
  • If any works fail validation, a reason will be given in the email to allow you to re-review your file and correct the error(s).
• Track the status of your submission under the Registration History section.
